With the modernization of the official framework and rhetorical approach towards increasing client numbers, the pressure has evidently spiked and has paved a way towards a chaotic office working experience. Often the greed to increase the company’s monetary value creates a negative relationship with clients and stakeholders.

The main problem lies within the core of the company, i.e, the Management team. When we consider the dynamics and the pace of the atmosphere, mismanagement becomes a part and parcel for the employees as well as management authorities. Here we will understand the most common mistakes and top project management challenges and ways to solve them.

Here are the main problems faced in project management

1. Miscommunication:

Solution

A slight increase in communication technology and effective usage of thumb rule approaches to clear the communication barrier between the employees can create a huge difference.

There can be a language barrier or lack of communication due to a feud or ego. Realizing these situations and approaching them firsthand results in a lot of psychological and emotional harmony between the employees.

As for clients, creating a comfortable and expressive environment where they can speak their mind and not feel any kind of pressure from the company and providing an easy format of communication might lead to a healthy and transparent relationship between the client and the company.

2.  Inadequate skills of team members:

While working with a colossal number of team members the delegation of work becomes a tricky, deranged and demented task.

As every member is associated with a different set of skills and assets, to find the perfect work in the project for them becomes a big hindrance as their set of skills might not match the requirements of the work to be done, leading to an inefficient and underwhelming team.

Solution:

A project management problem recognized by various multinational companies, inadequate delegation has had a huge impact on mismanagement of projects.

The best way to deal with it is skimming the work force and making small groups of employees that have one team leader who can report the best suited candidate for the work given.

Shuffling and mixing the employees with every other project can balance the ego and mental satisfaction of the employees as well.

3. Sense of Responsibility:

While dealing with a complicated project associated with high skill requirements and keen knowledge on the project, there are mistakes that are bound to occur.

There are employees who restrain certain knowledge to themselves if they make a mistake or things don’t go as planned for them. This lack of accountability leads to a confusion and disrupts the workflow of the project.

This is clear sabotaging for other employees and your self-consciousness, making this restrainment way worse.

Solution:

The only possible solution for this problem is to create a trustworthy and friendly relationship with the associates and team members.

The reason for there being a lack of accountability is because of a sense of fear and under acknowledgement of the employee.  The team leader and manager can create such an environment where there is no need to have those problems in the employee’s minds. Project management is the key.

4.  Unattainable deadlines:

In order to please the client and forcibly meet their requirements many times the whole team has to face a challenge of an unattainable deadline.

A manager should be well aware of the capabilities and strength of his team to gauge the time that might be required by them to complete any task.

As the company is unable to meet those given deadlines it creates unhealthy and unstable relationships with their clients.

Solution:

To overcome this problem a comprehensive planning session with inclusion of the stakeholders and other important associates should be held that can help everyone to have a clear idea about the complexity of the work and how much time it will require to complete it with utter perfection and utmost efficiency.

Another main thing is to have a thorough knowledge of the skills that the employees possess.

5. Limited resources:

Resources as we all know are finite and cannot be replenished on a regular basis as it costs a handsome amount of money.

If the requirement and availability do not match and the nature of the particular resource is unique and is not easy to attain, then it manifests a gigantic speed bump for the workflow of the team.

To make the most of the limited resources a strong management team is a must.

Solution:

Creating a team for the sole purpose of managing and accounting the resources to make sure that they are used organically goes a long way.

A thorough planning and scoping of the undertaken project is a vital step for any and every company.

The significant issue that many firms face is they say yes to any project without considering the resources available with them, avoiding those projects can also save the company’s pride and worth.

6. Gauging expenses:

Misgauged expenses are and have been a staggering problem for many companies for a long time.

With various elements involved with a single project, there are direct expenses, indirect expenses and unforeseen expenses that are to be accounted for and project undertakers must have a scrupulous idea of estimating the actual amount and using the available cash and kind accordingly.

Solution:

Monitoring and calculating the required budget in the most methodical and detailed approach to skim down the chances of misestimating the expenses can save a company from a lot of trouble.

Diligently working with a good team of accountants and keeping up with the budget plans of the firm also helps in having a clear and transparent idea for decision making.

7. Asset management:

Assets comprise all the accumulated resources available. These include machinery, intellectual property, land, working staff; these are considered as tangible assets and there are soft copies of assets that hold a lot of significance and are formulated in different formats and are known as intangible assets.

The quantity of these assets is directly proportional to the size of the firm, the bigger the company, the more are the assets available. Managing these assets also becomes a challenge as these can always be overused or underused making it inefficient for the firm and unsatisfying for the client.

Solution:

The tangible assets can be managed by appointing a team of experts in the field. They can subdue the risk involved in investing and managing them. Keeping books and accounts of transitions related with these assets also helps a lot to overcome the problems.

Whereas, for intangible assets many tools and DAM solutions are available. You can use Pics.io to centralize your digital assets and access them easily and share with your colleagues, increasing efficiency.

To sum up, there are numerous challenges that are faced by project management teams. May it be mental, physical or psychological, the main thing that stands out here is how these teams tackle these problems and make sure that workflow is not hindered by any kind of roadblock.

To maintain a good and well-built relationship with the clients, overcoming these challenges is vehemently important. As every coin has two sides, every problem no matter how unique it is it has a solution as unique and satisfying. Every challenge they overcome becomes a stepping stone towards that company’s success.
